About this Privacy Policy

Welcome to the training application website of Geneva International Centre for Humanitarian Demining (GICHD).

Our Privacy Policy takes into account the provisions of the applicable legal regulations, including the European Union’s General Data Protection Regulation and the Swiss Federal Act on Data Protection (the “Applicable Laws”).

In this document, the masculine is used to lighten the text and includes the feminine when the context justifies it.

 

1. Scope of this privacy policy

GICHD will only collect the personal data we need to process your training application, organize trainings and in some cases organize your travel. This policy addresses the questions you may have on how and why we use your data when you apply for a training course.

 

2. What information do we collect?

In the scope of this training activity, GICHD may collect a range of information about you.

This may include the following:

  • your name, address and contact details, including photo, e-mail address and telephone number, date of birth and gender;
  • details of your qualifications, skills, experience and mine action background as well as languages spoken and current duty station; work information, photocopy of diplomas;
  • your emergency contacts;
  • your nationality, and passport copy when relevant;
  • if applicable: information about medical or health conditions, including whether or not you have a disability for which GICHD needs to make reasonable adjustments.

As training locations, circumstances and requirements can differ, we may require other information that is not listed above.

 

3. Our basis for processing your personal data

In the present context, GICHD collects and uses personal data based the following basis:

  • your consent (when you fill out the application forms);
  • our contractual obligations (including with you, our donors, our training or travel partners, etc.);
  • a legal obligation (including complying with any law, rule, regulation, request of a regulator, or in cooperation with any governmental authority of any relevant country, to process and respond to requests and complaints from data subjects and other and handling of inspections and requests from authorities.);
  • our legitimate interests (including verifying your credentials, identity, previous trainings and education, insuring safety at and access to the training location and other facilities, and for keeping accurate and up-to-date records of the application, training process and contact details (including details of whom to contact in the event of an emergency).

Personal data is not used for automated, individual decision-making.

4. How do we collect personal data?

When you choose to apply for training, through the Website we will collect the information you provide us.

We may receive this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, your passport or other identity documents, or collected through interviews or other forms of assessment we may need to do in order to fulfil our obligations. We strive to make sure that all your personal is held securely. We will not share your personal data with any other companies or third party without your consent, except in the following circumstances (each as permitted by applicable law, in particular, with regard to a transfer out of the EEA, as applicable):

  • if we are required to do so by law, for example, in response to a court order or other legal obligation, or in response to a valid request from a law enforcement agency;
  • to protect the security or confidentiality of our records and systems;
  • in special cases when we have reason to believe that disclosing this personal data is necessary to identify, contact, or bring legal action against someone who may be causing injury to or interference with our rights, or
  • in the event of the transfer of all, or any portion of GICHD, or its assets (including - in the event of a reorganization, dissolution or liquidation) we reserve the right to transfer your personal data to the relevant successor, or beneficiary, or any appropriate combination of them.

 

6. How do we protect personal data?

GICHD has internal policies and controls in place to ensure that your personal data is not lost, accidentally destroyed, misused or disclosed, and is only accessed by our employees, service providers or consultants in the proper performance of their duties.

We operate globally and work with third parties to run the trainings and support our organization’s e-mail management, data storage etc. We may therefore need to transfer certain personal data to countries outside the EEA, which do not provide an adequate level of protection as required under the Applicable Laws. In such cases, we ensure that the appropriate protection is in place to safeguard your personal data.

Nevertheless, the transmission of information over the Internet or by other methods is never completely secure. While we take appropriate precautions to protect personal data, we cannot guarantee the security of information transmitted to our website or through other means. Therefore, any transmission is at your own risk.

 

7. How long do we keep personal data?

We retain personal data in an identifiable format for the least amount of time necessary to fulfill our legal or regulatory obligations. Depending on its category, GICHD will hold your personal data for the duration of the training, and for any length of time after this to fulfil its legitimate interest and adhere to legal, regulatory and statutory obligations.
